More efficient eGovernment

The implementation of a service-orientated and efficient administration is an integral part of Germany’s eGovernment strategy. Following the introduction of the new German ID card, the government’s coalition agreement now foresees comprehensive modernisation of the processes used to exchange official business documents. Bundesdruckerei GmbH is now offering an innovative model for exchanging electronic invoices via its D-TRUST Business Portal.

Example: electronic invoice exchange
One good example is public administration accounting where up to 580 million invoices are handled every year. On average, it costs 15 euro to process one incoming invoice alone, including the work involved in recording the invoice, account allocation, posting and subsequent approval for payment. The same applies to outgoing invoices. By employing digital business processes, such routine procedures could be simplified considerably and could cut costs by up to 75 percent. That’s why politicians are calling for the nationwide, binding use of modern business platforms to fundamentally reform business processes in the public administration – if possible, without having to additionally invest in new hardware and software components.

Exchanging data and documents in all formats and with all types of delivery
Bundesdruckerei offers one such model with its new D-TRUST Business Portal. With just 100 invoices a day, annual savings of up to 40,000 euro are possible. The only precondition is working access to the Internet.

The heart of the new service is the VIPER printer driver via which all the functions of fast invoice processing can be handled with just a click of the mouse and which enables fully automatic transmission of digitised documents. Installed in just a matter of minutes, the system can be accessed from almost any software. The system transmits documents and data with a qualified signature not just in the desired form and delivery type but also performs law-compliant signature verification, when necessary – thus permanently boosting the security of all conventional send and receive processes.

In addition to a once-off set-up fee and low processing costs for the sender, no further investment is required. This is something that is sure to catch on quickly, also among German companies which, according to the latest statistics, send out more than six billion invoices each year. Freeing accounting of the unnecessary paper trail not only cuts the cost of sending invoices, but also benefits those receiving invoices per electronic mail.
